Event Form Properties: Email Notifications

Watch a Video Overview

Confirmation of a completed gift or registration is important to your givers and registrants! For any event that has a dollar amount that they are collecting, they must either select 'Send Email Receipt' OR 'Send Confirmation Email to Form Submitter'. To set up the emails, select the “Email” tab in the Form Properties window.

Below the Email Ticket Receipt is another email option to send confirmation to donors or notification to staff. You may choose to send the Email Ticket Receipt and the additional email to multiple recipients with different subject lines and messages if you choose.

Complete the fields, as you’d like to draft the email to be sent to givers, registrants, or form responders based on the form type.

Placeholders allow you to pull information from the form into the email, such as #BillingEmail# to send the email to the address provided by the giver and #TotalAmount# to enter the amount given. If the placeholder is within another field set the placeholder will not show up. For instance, if it's the parent/guardian email address but it's within the person field set that can be duplicated, you may have use the billing email instead of the parent guardian email. If you do not have a billing email address (if your event is free or they can select to pay cash), you will need to create a separate contact information that is not within a field set that is required to have the responses go to.

Ticketing via Email Confirmation

If you've enabled Ticketing for an Event Registration form, tickets will be sent via the confirmation email.

You may add a custom message (see the “Recipient Thank You Message” in the image below), as well as click the eye icon to preview your email.

General Confirmation

If you do not want to include All Response details, or send a copy to the staff or volunteers, you can leave the default send an email receipt so that the parishioners have a receipt of what they paid for.

The From address will default to “noreply@ministryforms.net.” You are welcome to use this address, or change to an email at your organization. Because the intention of the email is serve as a confirmation or receipt, a noreply address is recommended but not required.

Continue by adding a custom Subject and Message. Using the message toolbar, you may change the look and feel of your message, add images, and hyperlinks.

Send confirmation to donor

If you want to have the donors receive a detailed response, you can select the option of 'Send confirmation to form submitter' (NOTE: this is the option that Faith Direct recommends the most)

Send notification to staff or volunteers

You can use this to notify event or program staff about new submissions and registrations. The language can be different than the language of the email sent to registrants!

The notification to Staff or Volunteers defaults to include the Submission Link. Instead of the Submission link, it is recommended to add the placeholder of All Response Details. The Submission link only works if the person receiving it has access to all of the Faith Direct Admin Event rights. All Response Details is also helpful in the event of refunds needed. It has all the information needed by your Client Relations Manager to have the refunded processed.

Add Additional Email Notification

This will allow you to send additional email notifications triggered by completion of the same form. For example, for an event registration form the primary email would send to the registrant and include important event information and placeholder details. A second email could be enabled to notify a particular staff member that a new registration has been received.

Removing Email Notifications

If you need to stop receiving email notifications or go through staff changes where the interim person is no longer needing the confirmations, click on the trash can next to their name.  It will ask you to confirm that you want to remove the email.  Once the removal is confirmed, the email address will be removed and then click 'Done' and then publish the change.
