Events: Draft versus Publish

Great news! You've finally created your event, but wait, you're not done yet. If there is something that you're waiting on, or you want to wait to fully publish the event but you want to save the changes you've made. By clicking the blue Save button, it will then ask if you want to Save the form with two options, if you want to Save Only, or Publish:


Here's the difference:


Save only: will create a draft of the event that you can then go in and edit


Publish: will make the event available for all parishioners who have received the link are able to register for the event.


If you click save only you will then have where it says the name of the event and then the word Draft:

The tricky part is the you can click on either the name of the event OR the word draft. The key difference is if you've already published the event, the NAME of the event is what the parishioners are seeing. It's what is available to them if you publish the event.


If you have updates to make, you can then click on the word DRAFT and that will take you to the event in an area where you can make changes THAT ARE NOT SEEN BY THE PUBLIC. This is where you can make your edits, and if you have many to make or if you have to make changes over a couple days, you can go back in to the draft and make the changes, without altering what is currently being seen by parishioners. Make the changes in the Draft and then hit publish, and then the draft then becomes the current published event that is seen by parishioners so they would see the changes that you have made.


Additionally a concern when creating a draft is if you download the QR code from the draft it will not work once the event is published. You will need to download the QR once the event is published.


Creating a draft can be confusing, so we always recommend publishing the form (whether you are fully completed or not) and then just unpublishing the event. To do that, instead of 'Save Only' click Publish when you are saving the changes and then go back to the list of events and click the green word publish and select Unpublish

By just unpublishing the event, you are keeping fewer copies of the event itself and we have found less errors with event creation.
